Procedures to follow once a place is assigned

Before leaving

START:

  • STUDENT Mobility application
  • STUDENT Acceptance of the vacancy

Nomination by EPSEM

  • STUDENT Contact the host university
  • STUDENT Prepare the documentation requested by the host university. It is essential to fill out the Learning Agreement through E-Secretaria (document). Once the student has completed the Learning Agreement (document) it must be digitally signed and sent to EPSEM so that the Vice-Dean can sign it. If the host university signs via OLA (Online Learning Agreement), the entire process will be carried out through E-Secretaria, under the EWP section, and all signatures will be digital.

APPLICATION

  • STUDENT Send all requested documents to the host university.
  • The host university confirms that everything is correct, and the STUDENT informs EPSEM and provides the exact dates of the stay.

Creation of the stay

  • EPSEM creates the stay profile using the start and end dates provided by the student.

Preparing for mobility

About 10-15 days before leaving, you need to prepare:

  • STUDENT purchases the ONCAMPUS insurance through eSecretaria. This can be done in advance or at the time of enrollment. If done in advance, the information must be uploaded to eSecretaria.
  • STUDENT uploads the Learning Agreement (document) signed by all parties to eSecretaria.
  • UPC sends the language test to the student; it is mandatory to complete it.
  • STUDENT signs the financial agreement document via the digital signature platform (portafirmes).

Enrollment

    • STUDENT completes enrollment on the assigned day and time via eSecretaria. If the ONCAMPUS insurance has not been purchased yet, it must be done at the time of enrollment.

During the stay

AT THE BEGINNING

  • STUDENT Once you arrive at the host university, you must fill out and sign the arrival certificate (document). This document can be found in E-Secretaria.

DURING THE STAY

  • If applicable:
    • amendments can be made to the Learning Agreement (document). Please contact EPSEM.
    • an extension of stay request can be submitted, at least 30 days before the end of the stay. The document can be found under Erasmus Scholarships.

AT THE END

  • STUDENT You must fill out the attendance certificate (document) and have it signed by the host university. The signature date must be equal to or later than the end date of the stay. This document can be found in E-Secretaria.

Upon return

Survey

  • UPC will send you a survey by email.

Final language test

Grades

  • You must send your transcript of records (grades) from the host university to EPSEM.
